Refunds, cancellations, tax and privacy

Cancellations

• Before you approve your proof, you can cancel at any time and you owe nothing more.
• The design fee (if you chose "Design it for me") is refunded in full if you cancel before we start your design. Once design work has begun, it isn't refunded.
• After you approve your proof, we start printing your coins, so the order can't be cancelled.

Refunds

• Custom work isn't refundable once you approve your proof. Please check the spelling, dates and colors on both sides before you approve: the approved proof is what we print.
• If we made a mistake, we put it right. If your order has a printing defect, doesn't match the proof you approved, or arrives damaged in shipping, tell us within 7 days of pickup or delivery and send a photo. We'll reprint the affected pieces free or refund them.
• How refunds are paid: card payments are refunded to the same card through Stripe, and Venmo payments are refunded through Venmo.

Sales tax

• Maryland sales tax of 6% is added to orders picked up in Pasadena or shipped to a Maryland address. It's charged on the coins and our fees, not on shipping.
• Orders shipped to another state don't pay Maryland sales tax.
• Tax-exempt organizations: enter your Maryland exemption certificate number when you order, and pay with the organization's funds. We check the certificate before we send your proof. If we can't verify it, we tell you and add the tax before you pay.

Event plans

• What a plan is: you plan at least 4 events in a plan year and tell us how many coins you expect at each. Every event's coins are priced at the price for the year's total, starting with your first event.
• Designs: your back design is proofed once and kept on file. Each event gets a new front design for $15. Your first event pays the $25 setup for both designs.
• Each event: you choose that event's coins (12 or more) when you order, and pay like any order: half when you approve the proof and the rest when the coins are ready, by card or Venmo.
• Plan year: a plan ends on December 31. A plan started on or after July 1 runs through December 31 of the next year. Plans don't renew on their own: start a new one for the next year.
• Your saved card: when you start a plan, you save a card with Stripe, our card processor. We use it only for the year-end settle-up below, and only after we've emailed you.
• Year-end settle-up: on January 1 we compare the coins in the events you've paid for with your plan's total. If your real total earned a higher price per coin, you pay the difference on the coins you ordered, plus Maryland sales tax where it applies. If you reached your plan's price, you owe nothing. Setup fees and options are never charged again.
  For example: a plan of 5 events of 50 coins (250 a year, $1.75 a coin) that stops after 3 events, with 150 coins ordered, owes 150 × ($2.00 − $1.75) = $37.50, plus tax.
• Notice: we email you the settle-up amount 7 days before we charge your card. If you'd rather pay it by Venmo, reply before then.
• If the charge fails: we email you a payment link, to pay by card or Venmo within 14 days.
• Ending early: you can stop at any time: just stop ordering, or tell us. The same settle-up runs on January 1, on the coins in the events you've paid for.
• Removing your card: email us and we'll remove your saved card. You'll then pay any settle-up by payment link or Venmo.

Privacy

What we collect

When you order or ask for a quote: your name and email; your phone, organization, shipping address and tax exemption number if you give them; your notes, artwork and inspiration files; and your order and payment records. We never see or store card numbers.

Reviews

After your order we email you once to ask for a review. If you send one, we show it on this site only if you tick the box to allow it, with the name you choose and any photos you add. We share your photos in our social media posts only if you tick that box too. We remove the location and camera details from every photo. Ask us at any time to take your review down.

Why

To make and deliver your order, send your proof, updates and receipts, answer your questions, and keep our business and tax records. We only send you other emails if you tick the box for them, and you can stop them by replying.

Who handles it

• Stripe processes card payments.
• Venmo handles Venmo payments, if you pay that way.
• Google (Gmail) sends our emails.
• Cloudflare delivers this website and counts visits without cookies.
• Anthropic (Claude) helps us draft replies to your emails. We read and send every reply ourselves.
• Google (Gemini) helps us draft coin designs from your notes and images when you choose "Design it for me", and clean up artwork you send if it needs it. We check every draft ourselves before it becomes your proof.
• Your order and files are kept on our own server.

We don't sell your information.

Cookies and storage

We don't use tracking cookies. Your browser remembers your light or dark choice for this site, and our admin page uses a sign-in cookie for us only.

Your information

Email us to see, correct or delete what we hold about you. We keep only what our business and tax records require.
